Our Philosophy

AI is a tool, not a replacement for accountability.

At Right Touch Editing, we believe that technology should serve the editorial process, not shortcut it. We approach AI as part of thoughtful infrastructure design. It is a resource that, when used responsibly, can enhance efficiency while preserving the human expertise, judgment, and care that define quality editorial work.

This policy reflects our commitment to protecting our clients’ intellectual property, maintaining editorial integrity, and operating with full transparency.

When AI tools are used, they will be used responsibly, under human oversight, and with clear disclosure.

Scope

This policy applies to all editorial work performed by Right Touch Editing, including work completed by our principal editor and our team of subcontractors. It governs the use of generative AI tools, such as Claude, ChatGPT, and Notebook LM, in all phases of the editorial process.

Accountability

Human Oversight

All AI output is reviewed and verified by a qualified human editor before being incorporated into any deliverable. AI suggestions are treated as starting points, not final answers. The editor remains responsible for the accuracy, quality, and appropriateness of all work product.

Team Standards

All Right Touch Editing team members are trained in this policy and expected to adhere to it. Team members may not use AI tools on client work without explicit client permission and must follow the guidelines outlined here.

No matter what tools are used, we read every word of your material, and our suggested edits are bespoke, made by us.

Transparency

Client Communication

We will discuss AI usage with clients before beginning any project where AI tools may be employed. Clients may opt out of AI usage entirely or partially. Clients are encouraged to share with us any internal AI policy that affects their project.

Disclosure

When AI tools are used on a project with client approval, we will disclose this use upon request. Our disclosure includes:

  • The type of task the AI tool assisted with
  • The tool used
  • The extent of human review applied.

We maintain records of AI-assisted conversations for reference and quality assurance.

What We Will Not Do

  • Input client manuscript content into any AI tool without explicit client permission.
  • Use AI to generate copy, draft content, or write on behalf of authors.
  • Accept AI output without verification.
  • Use AI tools in violation of a client’s organizational AI policy, as provided by the client.
  • Input confidential, proprietary, or sensitive client information into public AI tools.

What We May Do With Client Permission

With explicit client approval and appropriate safeguards, AI tools may be used to assist with:

  • Research and fact-checking
  • Citation and reference formatting
  • Style checking and consistency verification
  • Style sheet creation and organization
  • Data sorting and organization
  • Document comparisons
  • Summarizing documents for scoping and planning purposes
  • Brainstorming approaches to editorial challenges
  • Creating document templates and checklists

What We May Do Without Requiring Client Permission

We may use generative AI tools such as Gemini for search purposes. All AI output will be reviewed and verified before use.

Privacy and Compliance

Protecting Client Content

We will never input client manuscript content, proprietary information, or confidential data into public or open-source AI systems without explicit permission. When AI tools are authorized for use, we will prioritize platforms with robust privacy protections and opt out of data training where possible.

Copyright Protection

We are committed to protecting our clients’ intellectual property. AI tools are never knowingly used in ways that would compromise copyright, expose unpublished work, or create ownership ambiguity. All editorial work product remains the property of the client as specified in our service agreements.

Recordkeeping

When AI tools are used on client projects, we will maintain copies of the relevant AI conversation threads. These records support quality assurance, allow us to answer client questions, and demonstrate our editorial process, if needed.

Governance

Policy Review

This policy is reviewed and updated at least twice annually to account for changes in AI technology, evolving professional standards, and shifting client expectations.

Team Compliance

All Right Touch Editing team members receive a copy of this policy and are expected to review and follow it. Questions about the policy or specific use cases should be directed to the principal editor before proceeding.

Flexibility

AI technology and industry expectations are evolving rapidly. This policy is designed to be adaptable while maintaining our core commitments to client privacy, editorial quality, and transparency. As circumstances change, this policy will be updated to reflect the latest best practices.
